Oversized pilotage
Oversized transport is one of the most demanding sectors of road logistics. Transporting cargo that exceeds permissible dimensions or weight involves a number of formalities, technical requirements, and organizational duties. One of them is escorting (pilotage), which in many cases is a necessary condition for allowing the load to travel on public roads. What does the escorting service involve, and when is it mandatory?
What is oversized transport pilotage?
Pilotage involves professionally securing the transport of an oversized load using special vehicles that drive in front of or behind the transport convoy. Their tasks include:
♦ warning other road users,
♦ securing maneuvers (e.g. turning, lane changes),
♦ signaling obstacles and hazards,
♦ communicating with the driver of the convoy and, if necessary, emergency services.
The pilot must have the appropriate qualifications and act in accordance with the regulations specified in the 2023 Ordinance of the Minister of Infrastructure on piloting non-standard vehicles. The escort vehicle must also be properly marked, equipped with warning lights, radio communication, and warning signs.
When is oversized transport pilotage mandatory?
In Poland, pilotage becomes mandatory when the vehicle exceeds at least one of the following limits:
♦ length: 23 meters,
♦ width: 3.2 meters,
♦ height: 4.5 meters,
♦ gross weight: 60 tons.
In such cases, one pilot vehicle is required. A second vehicle becomes necessary if any of the following values are exceeded:
♦ length: 30 meters,
♦ width: 3.6 meters,
♦ height: 4.7 meters,
♦ gross weight: 80 tons.
Oversized escorting – pilot responsibilities
Pilotage is not just about driving a properly marked vehicle. The person responsible must have specialized training, know traffic regulations, and be able to react to unexpected situations. Duties include:
♦ maintaining contact with the convoy driver and second pilot,
♦ deciding to stop traffic when required for maneuvers,
♦ ongoing route analysis and signaling hazards (e.g. low-hanging branches, parked cars, roadworks),
♦ cooperating with police, GDDKiA, or road authorities for coordination.
It’s worth noting that logistics companies often require pilots to prepare documentation of the pilotage, including incidents, route changes, or travel interruptions.
How is oversized transport organized?
Before pilotage begins, the route must be carefully planned – not just in theory, but practically. This means adjusting it to the size of the convoy and the terrain conditions. It’s not enough to designate points A and B – each part of the road must be verified.
This includes:
♦ analyzing the load capacity of bridges and overpasses,
♦ verifying clearance height (e.g. under bridges or power lines),
♦ assessing turning radii at intersections, roundabouts, or entrances,
♦ identifying construction zones or restricted sections.
In many cases, road authority approval is also required – especially if the route includes municipal or district roads or passes through sensitive areas (e.g. city centers or protected zones).
Thorough route assessment and communication with road authorities are essential. Experienced operators begin planning well in advance, taking into account road conditions and seasonal disruptions.
The role of pilotage at iCaro
At iCaro, pilotage is treated as an integral part of oversized transport. We plan it in advance, during route preparation and permit acquisition. As an experienced logistics company, we fully understand how crucial coordination between pilots and dispatchers is in organizing oversized transport. It directly impacts safety, timeliness, and operational flow.
In practice, pilotage also offers decision-making support – experienced pilots familiar with local infrastructure can identify critical route points and help organize detours.
Oversized pilotage – choose iCaro Logistics!
Escort services for oversized transport are not an optional extra, but a core safety element of the entire operation. Neglecting it risks not only the carrier but also other road users. That’s why it’s vital to use services of licensed pilots with proven experience, technical resources, and procedural knowledge.
In industries such as energy, construction, and heavy industry, the number of oversized transports continues to grow. Professional pilotage is becoming a necessary standard, not just due to regulations but primarily for the safety of the load and all road users.
